Position: Senior Student Account Specialist - Internal Applicants Only
Department: Accounting/Finance - Bursar
Reports To: Assistant Director of Student Accounts and Bursar Operations
Position Summary
The Senior Student Accounts Specialist provides comprehensive student account services, payment processing, financial reconciliation, third-party billing administration, and customer support for the Bursar's Office. This position ensures the accurate processing of student financial transactions, maintains compliance with institutional and regulatory requirements, performs account reconciliations, and delivers exceptional service to students, employees, and external partners.
Duties and Responsibilities
- Customer Service and Communication: Provide professional customer service to students, employees, and third-party agencies through multiple communication channels. Process student payments, respond to inquiries regarding student accounts and billing, manage account holds, distribute required forms, and assist with tuition appeal documentation and correspondence.
- Student Account Receivable and Payment Processing: Process payments received from third-party sponsors, create student and third-party billing invoices, administer contracts, waivers, and exemptions, prepare financial transactions and reports, process Attorney General payments, verify account balances, issue eligible refunds, and communicate billing notifications to students.
- Third-Party Billing, State and Federal Program Accounting: Perform daily, monthly, quarterly, and annual reconciliations and reporting activities. Review financial transactions for accuracy, generate operational and financial reports, reconcile institutional and third-party accounts, prepare required financial reports, and manage Dual Enrollment billing and funding.
- Cash Receipts and Payment Controls: Prepare daily bank deposits in accordance with internal controls and review invoices with supporting documentation for payment processing.
- Departmental Support and Compliance: Participate in departmental meetings, collaborations, compliance training, and professional development activities. Respond to departmental requests and assist with annual IRS Form 1098-T processing and distribution.
Minimum Qualifications
Required Education and Experience
- Associate’s Degree.
- Two (2) years of cash handling.
- Two (2) years of accounts receivable.
Substitution: An additional two years of cash handling AND two years of accounts receivable experience can substitute for the degree requirement.
Required Knowledge, Skills, and Abilities
- Strong customer service and interpersonal communication skills.
- Ability to accurately process financial transactions while maintaining confidentiality.
- Strong analytical, organizational, and problem-solving skills.
- Ability to manage multiple priorities and meet recurring deadlines.
- Proficiency with Microsoft Office applications, particularly Excel and Outlook.
- Ability to interpret and apply institutional policies, financial regulations, and established procedures.
Preferred Qualifications
- Associate’s Degree or higher in General Studies or Business related field.
- Enterprise resource planning systems experience such as Banner, Cognos, and Transact.
- Accounts receivables department experience in a college or university setting.
